01 Scope of this policy

This policy describes how CalmPilot AI (“we”, “us”, “the app”) handles information when you install and use the CalmPilot AI mobile application. CalmPilot AI is designed for mental wellness — mood tracking, guided sessions, mini-games, and an AI chat companion called Milo. It is not a medical service and does not provide medical advice.

By using the app, you agree to the practices described here. If you do not agree, please discontinue use of the app.

02 Data we collect

CalmPilot AI is designed to work without requiring your real name or email. The categories below cover everything we collect.

Account and device

  • Device identifier — a device-generated ID used to authenticate your installation and keep your data tied to you. We do not link this to your name, phone number, or email unless you choose to add them.
  • Display name (optional) — a name or nickname you set inside the app for your own greeting.
  • App language and basic device locale.

Wellness data you create

  • Mood entries — the mood you log, optional sleep hours, optional energy level, and any short note you choose to add.
  • Streaks and reminders — schedule and state of any reminders you turn on.
  • Chat with Milo — the messages you send to the AI assistant and the responses returned.

Usage data

  • Features opened, sessions started and completed, games played, screen visits, crash reports, and approximate timing.
  • App version, operating system version, and device model — used for troubleshooting and compatibility.
What we do not collect: we do not collect your contacts, photos, microphone or camera input, precise GPS location, or browsing history outside the app.

03 How we use your data

We use the data above for the following purposes only:

  • To make the app work — show your mood history, your streak, your insights, your saved sessions.
  • To generate AI responses through Milo when you choose to chat.
  • To improve the app — fix crashes, understand which features are useful, and prioritize new ones.
  • To send the reminders you opted in to (mood reminders, streak alerts, morning ritual prompts).
  • To meet legal obligations where required.

We do not use your data for advertising. CalmPilot AI does not contain third-party advertising networks.

04 AI and Milo

Milo is an AI chat companion built into the app. When you send a message, the message is processed to generate a response. Conversations are stored on your device and on our servers so you can return to them.

  • Milo’s responses are generated dynamically and may not always be accurate.
  • Milo is not a doctor, therapist, or licensed clinician. Its replies are not medical, mental-health, or crisis advice. If you are in distress or considering self-harm, please contact your local emergency number or a qualified crisis service.
  • We do not use the content of your chats to identify you publicly or to share with advertisers.
  • Aggregated and de-identified chat patterns may be used to improve quality and safety of Milo’s responses.
Important: CalmPilot AI is a wellness app, not a medical device. Always seek qualified professional help for any medical or mental-health concerns.

05 Sharing and disclosure

We do not sell your data. We do not share your personal data with third parties for their own marketing.

We share limited information only in these cases:

  • Service providers — companies we use to host the app, run AI models, send push notifications, or analyse crashes. These providers may only process data on our instructions and are bound by confidentiality.
  • Legal compliance — if required by law, court order, or to protect the safety of users or the public.
  • Business transfer — if CalmPilot AI is merged, acquired, or transfers assets, your data may transfer too. You will be notified of any change in ownership before your data moves.

06 Storage, retention, and security

Your data is stored on your device and, where needed, on secure cloud infrastructure. We use industry-standard protections — encryption in transit (TLS) and encryption at rest for stored records.

Kept until you delete them or your account.
Chat with Milo
Kept until you clear chat or delete your account.
Usage analytics
Retained for up to 24 months in aggregated form.
Crash logs
Retained for up to 90 days.
Backups
Encrypted, rotated regularly, deleted after recovery windows expire.

No system can be guaranteed 100% secure. We work to protect your information but cannot promise absolute security. See our Security Policy for details.

07 Data Retention

We retain user data only for as long as necessary to provide the app’s functionality and improve user experience.

Mood entries, usage data, and AI interactions may be stored securely for analysis and personalization. We periodically review and delete data that is no longer required.

If a user stops using the app, their data may be retained for a limited period unless deletion is requested.

Users have the right to request deletion of their data at any time.

09 User Rights

Users may request access, correction, or deletion of their data by contacting us. We respect user privacy and will respond to requests in accordance with applicable laws.

10 Children’s privacy

CalmPilot AI is intended for users aged 13 and over. We do not knowingly collect data from children under 13. If you believe a child under 13 has provided data to us, please contact us and we will delete it. In some regions, the minimum age is higher (16 in parts of the EU/EEA); local laws apply.

11 Changes to this policy

We may update this policy as the app evolves or as laws change. When we make material changes, we will notify you in the app and update the “Effective” date at the top of this page. Continued use of the app after changes take effect means you accept the updated policy.
